Job Title: Executive PA – Educor Pinetown
Location: Pinetown, KwaZulu-Natal, South Africa

Job Summary:
•To contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on
timely and efficiently.
•To organise and coordinate office operations and procedures to ensure organizational effectiveness, efficiency and
smooth running of the Executive’s office.
•Provide professional, proactive and efficient secretarial and administrative support to the Executive

Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
•Prepare agenda for meetings and sets up required meetings as directed.
•Attends meetings and keep minutes, ensuring minutes are distributed timeously.
•Provides administrative support for the completion of documentation of Board agenda items.
•Receive and screen phone calls and redirect them when appropriate.
•Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
•Make travel arrangements for executives preparing complex travel itineraries.
•Prepares travel itineraries; prepares, compiles and maintains travel vouchers and records.
•Handle confidential documents ensuring they remain secure.
•Maintain electronic and paper records ensuring information is organized and easily accessible.
•Conduct research and prepare presentations or reports as assigned.
•Proactive and Effective Diary Management
•Maintain the confidentiality of the office.
•Determine matters of top priority and handle accordingly.
•To troubleshoot challenges as they arise.
•Maintain an up-to-date executive key client contact lists for the Executive office.
•To assist with project monitoring and budget tracking for the CEO/CFO.
•Prepares and maintain CEO/CFO’s expense claims and reports.
•Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
•Maintain hard copy and electronic filing system.
•Preparing and maintaining the data shared between the departments and recording the information accordingly
•Communicates in a positive and effective manner with the other Executives, managers and employees within the
organisation.
•Schedule departmental meetings, prepare agendas and reserve rooms for meetings.
•Facilitate deliverables by other Executives and managers through interaction with their Secretaries
•Support other Executives when required and when directed by CEO/CFO.
•Commitment to efficiency a willingness to seek best practices in running the office.
•Other duties as assigned.

Requirements:
REQUIREMENTS OF THE JOB:
1.Degree in business administration or relative field
2.Proven experience as executive secretary or similar administrative role
3.Familiarity with basic research methods and reporting techniques
4.Excellent computer literacy is essential especially in MS Outlook, MS Word and MS Excel.
5.A minimum of 7 Years’ experience in a similar role
6.Valid Driver’s Licence
